DATABASE OFFICER

Position Overview:


The Database Officer plays a critical role in ensuring the accuracy and integrity of the organization’s information systems. This position involves meticulous data entry, maintaining up-to-date records, and facilitating seamless data access. Collaborating with various departments, the Database Officer contributes to data quality, conducts regular checks, and enhances overall data management efficiency. Attention to detail, adherence to best data entry practices, and a commitment to data security are essential. The role may also involve participation in data migration projects, collaborating closely with IT professionals on technical aspects, thereby contributing significantly to maintaining a reliable and comprehensive database for informed decision-making within the organization.


KEY RESPONSIBILITY AREAS
1. Data Entry and Validation:
• Accurately input, update, and validate data in the organization’s database systems.
• Ensure the integrity and accuracy of data through regular quality checks.
• Identify and rectify discrepancies or errors in the entered data.


2. Database Maintenance:
• Regularly update and maintain the organization’s databases to reflect the most current information.
• Organize and categorize data for optimized search and retrieval processes.
• Implement and adhere to data entry best practices to enhance database efficiency.


3. Data Migration:
• Assist in data migration between different systems or platforms.
• Ensure a seamless transfer of data, preserving accuracy and completeness during migration.

4. Collaboration:
• Coordinate with various departments to gather and input relevant information into the database.
• Work closely with database administrators and IT teams to address technical issues related to data entry.


5. Documentation:
• Maintain detailed documentation of data entry procedures and guidelines.
• Create and update user guides for data entry processes to facilitate training for new staff members.


6. Security and Confidentiality:
• Adhere to security protocols, ensuring the confidentiality of sensitive information.
• Implement access controls and restrictions to protect the integrity of the database.


7. Reporting:
• Generate regular reports and summaries based on entered data.
• Collaborate with analysts and reporting teams to provide accurate and timely information.


JOB REQUIREMENTS

Qualifications:


• Degree holder in a relevant field, with a strong foundation in data management.
• Proficient in data entry software and database management systems.
• Strong attention to detail and accuracy in data entry.
• Familiarity with data entry best practices and quality assurance processes.
• Excellent organizational and time management skills.
• Ability to work collaboratively in a team and communicate effectively with other departments.

Education and Experience:
• Bachelor’s degree in a related field; additional education or certification in data management is a plus.
• Prior experience in database data entry or related roles is preferred.

General Description

  • To lead in coordinating the general research activities of the research project, including assisting the research center Faculty Director on project planning and management.
  • To manage and plan the research project, budget and expenditure together with the research center management team.
  • To lead in reporting research project activities to grant provider and senior management.
  • To lead, manage and monitor the research project administration, including the research project management, publication process, workshop organization and event organization.
  • To manage the promotion of the research project and research activities in the research center.
  • To participate in the general management activities of the research centers together with the research center management team.

Minimum Qualification and Skills Required

  • Excellent command of English and Malay (spoken and written) – both in research writing and also on business writing. 
  • Excellent general administration and Project Management skills.
  • Excellent skills in using Microsoft office software and other project planning tools.
  • Excellent organisational and collaboration skills, strong team player that can lead and delegate to teams.
  • Self-motivated to initiate, operate and manage multiple different operations in the research project and research center.
  • Timely and detailed-oriented in managing operations and administration.

Required Qualifications

Minimum 5 years working experience in relevant field.

Remuneration

The base salary will be in the range of RM5,500 to RM6,500, and EPF, SOCSO and insurance will be included.
