CAMPUS SERVICES & OPERATIONS ASST. MANAGER

Reports to: Campus Services & Operations Manager

Position Overview:
Responsible for a number of Campus Services & Operations functions & provides support to the Campus Services & Operations Manager.

Principal Duties and Responsibilities (Essential Functions**):

Facilities Management

  • Responsible for the overall functionality & operation of all facilities
  • Focal person in charge of managing the needs & expectation of key ASB stakeholders including attending to; Facilities Helpdesk, User Satisfaction, Complaints & Feedback etc.
  • Manage the performance & KPI of facilities management outsourced service provider to meet service level agreement in collaboration with BNM
  • Oversee the maintenance of all main functions of the campus including; M&E, Fire Protection, Landscaping, Cleaning etc.
  • Ensure all main functions of the campus comply to building regulations & requirements including; Fire Certification, JKKP Permits, ST Permits etc.
  • Supervision of work permits, maintenance schedule & other facilities maintenance related reports

Security Management

  • In charge of overseeing the performance & KPI of security management outsourced service provider to meet service level agreement in collaboration with BNM
  • Identify & propose new security initiatives & improvements to safeguard the interests of the ASB community
  • Plan & coordinate security arrangements to cater for high level events at ASB

Occupational Safety & Health

  • Responsible for the safety & health functions of ASB including; Safety Policies & Procedures, Safety Improvement Projects/Programs, Safety Awareness etc.
  • Primary person to establish & maintain all OSH Committee related activities including; Meetings, HIRARC, Incident Reports, Audit Reports, JKKP Reports, Campus Security & Safety Guidelines etc.
  • Ensure that ASB comply to all OSH rules, regulation & requirements set by the government & relevant authorities

Secondary Duties and Responsibilities (Supporting Functions**):

Facilities Enhancement

  • Assist with the management of major capital expenditure project in collaboration with BNM, consultant & vendor.
  • Assist with the execution & management of facilities enhancement projects including; Renovation, Refurbishments, Fit-Outs, Innovation & Improvement Projects etc.
  • Assist with vendor performance, delivery of services/products, cost effectiveness & service quality to suit the needs of the company

Office Management

  • Assist with the coordination & assignment of staff workstation & offices
  • Assist with the needs of users are met including but not limited to: Office Readiness, Key Management, Furniture & Fittings, Logistical Assistance etc.

Parking Management

  • Assist with the management of ASB parking operations & systems including but not limited to: Parking Management System, Cashless Parking, Reserved & Season Parking, EV Parking etc.

  • Excellent interpersonal skills with ability to build strong relationship with internal/external stakeholders & partners
  • Knowledge of all building management and a common-sense approach to a range of maintenance issues
  • Good project management, organisational, negotiation & analytical skills
  • Ability to learn & adapt to new situations & tasks
  • Respond to unforeseen events with high problem-solving abilities & effective solutions
  • Highly motivated & proactive in maintaining high level of work performance across all areas of responsibilities with minimum level of supervision
  • Able to demonstrate high level of integrity, ethics & professionalism at all times

Experience/Qualification:

  • Degree in Facilities Management/Mechanical/Electrical/Civil Engineering or equivalent
  • Minimum of 4 years’ experience in executing similar roles & responsibilities
  • Certification in facilities management and/or safety & health is an advantage

General Description

  • To lead in coordinating the general research activities of the research project, including assisting the research center Faculty Director on project planning and management.
  • To manage and plan the research project, budget and expenditure together with the research center management team.
  • To lead in reporting research project activities to grant provider and senior management.
  • To lead, manage and monitor the research project administration, including the research project management, publication process, workshop organization and event organization.
  • To manage the promotion of the research project and research activities in the research center.
  • To participate in the general management activities of the research centers together with the research center management team.

Minimum Qualification and Skills Required

  • Excellent command of English and Malay (spoken and written) – both in research writing and also on business writing. 
  • Excellent general administration and Project Management skills.
  • Excellent skills in using Microsoft office software and other project planning tools.
  • Excellent organisational and collaboration skills, strong team player that can lead and delegate to teams.
  • Self-motivated to initiate, operate and manage multiple different operations in the research project and research center.
  • Timely and detailed-oriented in managing operations and administration.

Required Qualifications

Minimum 5 years working experience in relevant field.

Remuneration

The base salary will be in the range of RM5,500 to RM6,500, and EPF, SOCSO and insurance will be included.
